Paper Submission

Registrations – Microsoft CMT

IEEE policies:

The E-Copyright form must be submitted by the author or presenter at the time of registration. IEEE reserves the right to exclude a paper from distribution after the conference (e.g., by not including it in IEEE Xplore) if the paper is not presented at the conference. Papers are reviewed on the basis that they do not contain plagiarized material and have not been submitted to any other conference at the same time (double submission). These matters are taken very seriously and IEEE will take action against any author who has engaged in either practice.

Note: The Microsoft CMT service was used for managing the peer-reviewing process for this conference. This service was provided for free by Microsoft and they bore all expenses, including costs for Azure cloud services as well as for software development and support.

Camera Ready Guidelines

A. For successful submission of camera-ready paper, carefully follow the instructions mentioned below:

  • You have already received the comments by the reviewers through notification email. Please incorporate the reviewers’ suggestions when preparing your camera-ready paper for the proceedings. The page limit is six pages and is strict. The final paper is to be submitted latest by 8th November 2025. This is a firm deadline for the submission of paper.
  • At least one author must register with Full Author Registration and present the selected paper at IC-DECoN 2025, in order for the paper to be considered for inclusion on IEEE Xplore. Each registration is meant for ONE (01) participant to attend the conference only. Co-author(s) who are also participating in the conference will need to register separately under the appropriate registration category. Please keep the proof of payment with you as it will be asked to be submitted.
  • Please make sure that the similarity index of your manuscript is below 15%, using standard plagiarism-checking software (e.g., Turnitin, etc.), before submitting the camera-ready paper from your end to confirm the submission of the paper to IEEE Xplore. If the similarity index is more than 15%, then your paper will not be included in the conference proceedings
  • The authors are urged to ensure that the camera-ready submission strictly follows the IEEE Template given at https://www.ieee.org/conferences/publishing/templates.html The camera-ready papers that do not meet these requirements will not be submitted for further consideration to IEEE Xplore.
  • Before submitting the camera-ready paper and e-copyright transfer form on Microsoft CMT create PDF through PDF eXpress of your manuscript.
  • The final manuscript should have the copyright clearance code notice at the bottom of the first page. Kindly refer to the LaTex/Word template provided here: https://www.ieee.org/conferences/publishing/templates.html and replace the dummy code at the first-page bottom with this code (as shown in sample image 1) whichever is applicable:
For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3315-9442-8/25/$31.00 ©2025 Crown
For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3315-9442-8/25/$31.00 ©2025 European Union
For all other papers the copyright notice is: 979-8-3315-9442-8/25/$31.00 ©2025 IEEE

B. Before Creating a PDF

  • Add the copyright clearance code notice to the bottom of the first page of your paper as shown in sample image 1.
  • Proof read your source document thoroughly to confirm that it will require no revision.

Oral Presentation Guidelines

  • The total time allotted to each speaker is 12 minutes. You should plan to speak for 10 minutes and leave 2 minutes for questions. Also, it is compulsory to follow the template of the DECoN-2025.
    Presentation Template
  • There is NO EXCUSE for using more than your allotted time. Rehearse your presentation several times; projecting slides and doing anything else you would otherwise expect to do at the meeting. It is a discourtesy to your audience, the Session Chair and the other speakers to exceed your allotted time. The Session Chairs are instructed to adhere to the printed schedule for the session. With parallel sessions this is critical to the overall success of the conference.
  • Presenters are required to present their paper as a live, offline or online (Google Meet) presentation mode, followed by Q&A during their scheduled timeslot. Live presentation of Oral papers is a requirement for publication in IEEE Xplore. For online presenters, Google Meet team links of each Track and their time slot will be provided soon.
  • Presentations should be clearly structured and should contain the essential elements of the accepted formal paper. Please include such content as the problem, the background, the innovative approach, the new results, and any comparative evaluation that the author wishes to present.
  • The presenter should prepare a reasonable number of PowerPoint slides, so as not to exceed the time limit. Typically, 1 slide is presented in 1 minute. Slides should not be overcrowded by text and graphics. Too much text should be avoided.
